If your Abstract is selected

After the closing date, all poster abstracts will go through a shortlisting process to determine which will be selected for final poster design. The lead author named on the online submission form will be notified by email whether the abstract has been successful on 11th of April 2025.

Please note that along with a new venue for 2025, we’re introducing a new format for the poster display:

  • The top scoring 100 poster abstracts will be invited to display a poster at the event as well as in the online poster showcase.  The top 30 of these will also be invited to give a short presentation of their work.
  • A further 100 poster abstracts will be selected to display their poster in the online poster showcase.

Successful poster authors will be required to:

  • Create and arrange printing of a traditional A0 poster (printing only required if selected for display at the Event);
  • Upload a copy of your final poster to the Online Poster Showcase and;
  • Add additional resources (optional) to the Online Poster Showcase to support their poster e.g. images, videos, audio, documents, apps and links to social media and online resources.
  • The Online Poster Showcase will allow for your poster to be available to view both before and after the Event. Please note that a QR code will be added to your poster display board to allow delegates at the Event to scan and access all the information on your poster included within the Learning Toolbox.

If you are selected to display a poster at the Event, you will receive the poster design guidelines and full instructions and support for using Learning Toolbox.

Please note that by submitting an abstract, you are giving permission for the information and your contact details to be shared with:

  • Eventage – who facilitate the online poster system for the NHS Scotland Event 2025;
  • Shortlisters for the poster process agreed through the NHS Scotland Event 2025 governance arrangements; and
  • The Poster Lead for the NHS Scotland Event 2025 for the purposes of communicating with poster authors.

Please ensure that when submitting your Poster abstract online, you tick the permission boxes. Your abstract will not be accepted if the tick boxes are incomplete.

  • The Scottish Government may wish to contact you in the future regarding the work described in your poster abstract so that further information can be obtained in an effort to share good practice. We would therefore ask that you also tick the box when submitting your final abstract online to confirm you are content that we have your permission to do so.

The NHS Scotland Events team may also feature work described in the abstracts for promotional activity. We would therefore ask that you also tick the box on the form to confirm you are content that we have your permission to do so.
